- We collect only what we need to value a watch, complete a sale, or answer your enquiry.
- We never sell your personal information, and we don’t share it for anyone else’s marketing.
- High-value transactions require identity verification, which is a legal obligation, not a preference.
- You can ask to see, correct or delete what we hold at any time by emailing info@watchdistrict.com.au.
01Who we are
Watch District Pty Ltd (ABN 82 352 508 267) trades as Watch District from Level 5, Suite 516, 343 Little Collins Street, Melbourne VIC 3000. In this policy, we, us and our mean Watch District Pty Ltd.
We are bound by the Privacy Act 1988 (Cth) and the thirteen Australian Privacy Principles. This policy explains how we apply them.
02What we collect
We collect different information depending on what you are doing with us.
| When you | We collect |
|---|---|
| Browse the site | Pages viewed, approximate location by IP, device and browser type, and how you arrived. Collected in aggregate through analytics. |
| Enquire about a watch | Name, email, phone number, and anything you write in the message. |
| Request a valuation | The above, plus details and photographs of your watch, its papers, and where it came from. |
| Buy or sell a watch | The above, plus government-issued photo identification, proof of address, and bank or payment details. |
| Subscribe to updates | Your email address and what you have opened or clicked. |
We do not knowingly collect information from anyone under 18, and we do not collect sensitive information as defined by the Privacy Act.
03Why we collect it
Each category has a purpose, and we do not use your information for anything else without asking you first.
- To respond to you. An enquiry cannot be answered without a way to reply.
- To value and trade watches. Provenance, servicing history and papers all bear on what a watch is worth.
- To meet our legal obligations. Identity verification on high-value transactions is required under anti-money-laundering law. Sales records must be kept for seven years under tax law.
- To protect against fraud. The pre-owned watch market attracts it, and verification protects both sides.
- To improve the site. Aggregate analytics tell us which pages fail people.
- To send you updates, but only if you asked for them.
04Identity verification
For any transaction above AUD $10,000 we are required to verify your identity and, in some cases, the source of funds. This is a legal obligation under the Anti-Money Laundering and Counter-Terrorism Financing Act 2006 (Cth).
We will ask for government-issued photo identification and proof of address. We record the fact of verification and keep a copy of the documents for the period the law requires, seven years after the transaction. We do not use these documents for any other purpose, and they are stored separately from our general records with restricted access.
05How we store and protect it
Your information is held on servers located in Australia, encrypted in transit and at rest. Access is limited to staff who need it for the task in front of them, and every access to identity documents is logged.
Photographs and details you send for valuation are kept for twelve months from your last contact, then deleted, unless the watch was traded, in which case the transaction record is kept for seven years.
No system is perfectly secure. If a data breach occurs that is likely to cause you serious harm, we will notify you and the Office of the Australian Information Commissioner as required by the Notifiable Data Breaches scheme.
06Who we share it with
We do not sell your personal information. We do not disclose it for another organisation’s marketing. We share it only in these situations:
- Service providers who help us operate: payment processors, insured couriers, our accounting firm, and our email platform. Each is bound by contract to use your information only for the service they provide us.
- Watchmakers and authenticators we engage to inspect a specific watch, and only the details relevant to that inspection.
- Law enforcement or regulators where we are legally required to, or where we reasonably suspect fraud.
- A purchaser of our business, if we are ever sold, on the condition they honour this policy.
Some of our service providers process data outside Australia. Where that happens, we take reasonable steps to ensure comparable protection, but we cannot guarantee an overseas recipient will be bound by Australian privacy law.
07Cookies and analytics
The site uses a small number of cookies. Essential cookies keep the site working, remembering that you dismissed a banner, for instance. Analytics cookies tell us, in aggregate, which pages are used and which are not.
You can block or delete cookies through your browser settings. Essential cookies are few enough that the site will still function; blocking analytics has no effect on you at all.
We honour Global Privacy Control and Do Not Track signals where your browser sends them.
08Direct marketing
We will only email you marketing if you have asked us to. Every marketing email carries a working unsubscribe link, and we action unsubscribes immediately rather than the five days the Spam Act allows.
Transactional emails, such as a valuation quote or a shipping confirmation, are not marketing, and you will continue to receive those while a transaction is live.
09Accessing and correcting your information
You can ask us for a copy of what we hold about you, and we will provide it within 30 days at no charge. If something is wrong, tell us and we will correct it.
You can also ask us to delete your information. We will, unless we are legally required to keep it, transaction and identity records being the main exception. Where we cannot delete, we will tell you why and what we are keeping.
Requests go to info@watchdistrict.com.au. We may ask you to verify your identity first, for obvious reasons.
10Complaints
If you think we have mishandled your information, tell us first: email our Privacy Officer at info@watchdistrict.com.au. We will acknowledge within five business days and respond substantively within 30 days.
You can escalate to the Office of the Australian Information Commissioner at oaic.gov.au or 1300 363 992. You do not need our permission to do so, and we will not treat you differently for it.
11Changes to this policy
We update this policy when our practices change. The date at the top of this page always reflects the current version. If a change materially affects how we handle your information, we will email anyone with an active account or transaction before it takes effect.
Questions about your privacy
Our Privacy Officer handles all access requests, corrections and complaints. We acknowledge every request within five business days.
